The spreadsheet says three oil filters in stock. The shelf says none. The car is on the lift, the customer is in the waiting room, and someone is now on the phone begging a supplier for a same-day delivery at a premium price. That gap between what the records say and what the shelf holds has a name: phantom stock.

Where phantom stock comes from

It's rarely theft and almost never one big mistake. It's parts fitted in a hurry and never logged, counts done monthly instead of continuously, returns that never made it back into the file, and an Excel sheet that three people edit and nobody owns. Every small slip adds up — and the spreadsheet drifts a little further from the shelf each week.

Deduct stock where the work happens, not at month-end

In Garageflow, stock isn't a separate chore — it's a side effect of the job. Put a part on a job and it's deducted automatically when the estimate converts; sell parts over the counter and the sale moves stock the same way. Every movement is recorded with its reason, so the stock number is something the system maintains, not something someone has to remember.

Alerts before the shelf is empty, orders from the same screen

Set a minimum level per part and Garageflow warns you when stock drops below it — there's a dedicated stock alerts report, so slow leaks get caught before they become a stalled job. From the same place you raise a purchase order to your supplier, receive it when it arrives, and the received quantities go straight into stock with the paper trail attached.

Know what your shelf is worth

Because every movement is logged, the reports can tell you what Excel never could: current stock value, what moved in a period, which parts are out of stock, and which ones just sit there tying up money. Parts carry both their price and your cost, so you also see the margin parts actually make — not just their turnover.

The payoff

No emergency supplier calls with a car stuck on the lift. No monthly counting marathon. No quiet money leak on shelves nobody audits. The shelf and the system finally agree — because they're updated by the same click.
