Workshop tips
5 ways a workshop saves time with Garageflow
Conflict-checked scheduling, estimates approved online, stock that deducts itself, invoicing without retyping and reports that email themselves — five automations that give you your hours back.

In a typical workshop, the day isn't lost on the lifts — it's lost around them. Phone calls for every booking, estimates approved verbally and forgotten, stock counted in Excel, invoices retyped into another program, reports built on Sunday evening. Added up, that's hours every single week.
Garageflow doesn't ask you to work faster. It moves the admin into the system so you stop doing it by hand. Here are five places where that shows immediately.
1. Scheduling stops being phone calls and a diary
The Garageflow calendar knows everything the diary doesn't: which bay is free, which mechanic already has a job, who's on approved leave, when the shop is closed for a holiday. When you book a job, conflicts show up before you confirm — not on Monday morning — and if you just need a free slot, the system suggests only times that are genuinely open.
The customer automatically gets the notifications they need, by email or SMS, without you calling twice to confirm. Reception and mechanics see the same calendar in real time, with each person's daily workload.
2. Estimates get approved online, with proof
You send the estimate by email or SMS and the customer opens it on a secure link, valid for 30 days. They verify with a 6-digit code, see the parts, labour and VAT, then tap Accept — or decline with a reason, so you know why. You see when they opened it and what they decided, all on record.
An approved estimate becomes a job in one click, at exactly the prices the customer saw. The counter arguments disappear, and so do the hours lost to chasing confirmations.
3. Stock deducts itself and warns you before it runs out
Every part placed on a job is deducted from stock automatically at conversion — not at the end of the month when someone counts shelves. When a part drops below its threshold you get a low-stock alert, and you can raise the purchase order to your supplier straight from the app, with receiving and history.
The time saved isn't just the storekeeper's: it's every job that no longer stalls because the part was in the spreadsheet but not on the shelf.
4. Invoices without retyping into another program
When the job's done, the invoice is generated straight from the estimate or the job — VAT calculated, no positions retyped into other software. Credit notes are handled too, and payments are recorded against each invoice, so you always know who has paid and who still owes you — without the folder of invoices to chase.
5. Reports arrive by themselves — no more Sunday spreadsheets
The end-of-day report tells you what you invoiced, what you collected and which jobs closed. Unpaid invoices, parts under minimum stock and customers' MOTs expiring soon each have their own report — and an MOT reminder sent on time means customers who come back on their own.
Any report can be scheduled daily, weekly or monthly, straight to your inbox or your accountant's, with CSV export. The numbers arrive without anyone compiling them by hand.
Added up, it's hours every week
None of the five looks big on its own: one phone call avoided, one estimate not forgotten, one trip to the shelf saved. But a workshop does dozens of each every day — and that time goes back to the lifts, where the money is actually made.
